Terms of Service

1 Service Description

Kairos Analytics is a financial intelligence platform that connects to your business bank accounts via the Plaid API to provide automated transaction categorization, profit & loss reporting, tax estimation, and cash flow forecasting for small businesses and sole proprietors.

We reserve the right to modify, suspend, or discontinue any feature at any time with reasonable notice where practicable.

2 Account Registration & Security

You must register for an account to access Kairos Analytics. You agree to:

• Provide accurate, current, and complete information during registration and keep your profile up to date.
• Maintain the confidentiality of your login credentials and not share your account with third parties.
• Notify us immediately at security@polsia.app if you suspect unauthorized access to your account.
• Accept responsibility for all activity that occurs under your account, whether authorized or not.

We reserve the right to suspend or terminate accounts that violate these terms, engage in fraudulent activity, or pose a security risk to other users.

3 Financial Data & Bank Connection

Kairos Analytics accesses your financial data through Plaid Inc., a licensed third-party data aggregator. Key terms:

• Read-Only Access. We request read-only access to your transaction history and account balances. We never store your bank login credentials and cannot initiate or approve transactions on your behalf.
• No Credential Storage. Raw bank usernames and passwords are never stored by Kairos Analytics. All authentication is handled directly through Plaid's secure, encrypted token system.
• Data Refresh. Transactions are synced from your bank on a regular cadence. You may also trigger a manual sync at any time from your dashboard.
• Data Retention. Categorized and aggregated transaction data is retained for the duration of your active subscription. Upon account deletion, your financial data is removed in accordance with our Privacy Policy.
• Plaid Terms. Your use of Kairos Analytics through Plaid is also subject to Plaid's own privacy policy and terms of service, available at plaid.com/legal.

You authorize Plaid to share your financial data with Kairos Analytics as required to deliver the service. We are not responsible for Plaid's performance, availability, or data accuracy.

4 Subscription Tiers, Billing & Cancellation

Kairos Analytics offers monthly subscription plans. All prices are in USD.

Plans

• Starter — $29/month. Single company, core bookkeeping features.
• Growth — $59/month. Expanded reporting, payroll tracker, reconciliation engine.
• Premium — $99/month. All Growth features plus API access and advanced analytics.
• Pro — $199/month. All features, unlimited users, dedicated support.

Billing

• Subscriptions are billed monthly on the date of initial signup. All fees are non-refundable for the current billing period.
• Payments are processed by Stripe via Polsia's payment platform. We do not store your card details.
• Failed payments will result in account suspension after 14 days of non-payment. You will receive email notification prior to suspension.
• Plan upgrades take effect immediately; you are billed the prorated difference for the remainder of the billing cycle.

Cancellation

• You may cancel your subscription at any time from your Account Settings page.
• Cancellation takes effect at the end of the current paid billing period. You retain access to the platform through that date.
• No partial-month refunds are issued upon cancellation.
• Demo data and tutorial transactions are removed upon account cancellation.

5 Limitation of Liability

To the maximum extent permitted by law:

• Kairos Analytics, its operators, and affiliated companies shall not be liable for any direct, indirect, incidental, consequential, or punitive damages arising from your use of the platform, including financial decisions made based on platform outputs.
• We do not guarantee the accuracy of tax estimates, financial projections, or AI-categorized transactions. Always verify critical figures with a qualified professional.
• We are not responsible for the actions, data accuracy, or availability of Plaid or any third-party bank integrations.
• In no event shall our total liability exceed the amount you paid for the service in the twelve (12) months preceding the claim.

6 Intellectual Property

All content, software, designs, trademarks, and materials on the Kairos Analytics platform — including the logo, name, UI design, and generated reports — are the property of Kairos Analytics or its licensors and are protected by applicable intellectual property laws.

You retain ownership of all financial data you upload or connect through the platform. We receive a limited license to process and display that data solely for the purpose of delivering the service to you.

You may not copy, reproduce, redistribute, or reverse-engineer any portion of the platform without prior written consent.

7 Acceptable Use

You agree not to use Kairos Analytics to:

• Violate any applicable law or regulation in your jurisdiction.
• Upload or transmit viruses, malware, or other harmful code.
• Attempt to gain unauthorized access to other user accounts or platform infrastructure.
• Use automated scraping, bots, or data extraction methods against the platform without written permission.
• Resell, sublicense, or redistribute access to the platform without authorization.

Violations may result in immediate account termination without refund.

8 Termination

You may terminate your account at any time through your Account Settings. Upon termination:

• Your subscription ends at the close of the current billing period.
• All personal and financial data is deleted in accordance with the Privacy Policy.
• Any outstanding fees owed to Kairos Analytics become immediately due.

We may suspend or terminate your account immediately, without notice, if we reasonably believe you have violated these Terms or engaged in illegal, fraudulent, or harmful activity. We reserve the right to retain anonymized usage statistics and platform analytics after termination.

9 Third-Party Services

Kairos Analytics relies on the following third-party services. Each is governed by its own terms and privacy policy:

• Plaid Inc. — Bank data aggregation and account connectivity. plaid.com/legal
• Stripe — Payment processing. stripe.com/legal
• Neon (Neon Database Inc.) — Cloud PostgreSQL database hosting. neon.tech/terms

We are not responsible for the content, privacy practices, or availability of these services. Review their terms before using the platform.

10 Governing Law & Disputes

These Terms are governed by the laws of the State of Delaware, United States, without regard to conflict of law principles.

Any dispute arising from or relating to these Terms or your use of Kairos Analytics shall first be subject to good-faith negotiation. If the dispute cannot be resolved within 30 days of written notice, either party may escalate to binding arbitration under the rules of the American Arbitration Association (AAA), conducted in Delaware. You waive any right to participate in a class action lawsuit or class-wide arbitration.

If any provision of these Terms is found unenforceable, the remaining provisions remain in full force and effect.

11 Changes to These Terms

We may update these Terms from time to time. When we make material changes, we will:

• Update the "Effective Date" at the top of this page.
• Send an email notification to the primary address on your account (for significant changes).
• Post a notice in the platform dashboard for 30 days following any material change.

Your continued use of Kairos Analytics after any change constitutes acceptance of the updated Terms. If you do not agree to updated terms, you may cancel your subscription within 30 days of the notice.
